Visitors to the VisualClubMate.com website are important to us. VisualClubMate.com does not record personal information about you without your permission.

» Collection of Information

Visual ClubMate collects personal information so that we can provide you with services. In doing so, Visual ClubMate may use the personal information we have collected for purposes related to the services including to:

• Provide members with a personalized facility booking & account management service as an extension of the facility’s service;
• Identify and authenticate member login;
• To provide the facility the ability to contact members;
• To automatically check members into classes by using location;
• To provide the facility the ability to track attendance, progress & billing activities;
• To provide the facility with integration with third parties such as billing providers.

All passwords are non-reversibly encrypted. However, it is your responsibility to keep your password to the service safe and secure. You should change your password immediately should you become aware of any misuse of your password using the “Forgot Password” process.

» E-mail

E-mail sent to VisualClubMate.com may be stored for a time. This will allow us to respond to the request, forward it to the appropriate agency, or to provide valuable feedback to help improve the website.

» Online Forms

Any information you supply during the completion of an online form will be considered voluntary. This information will be treated the same as any provided in person during a visit to the agency.

» Right to Rectification

Clients and Members have the right to rectify or correct any personal data concerning that is being processed or held. Should you wish to do so, please contact your facility’s data officer.

» Right to be Forgotten

Visual ClubMate will also respect your right to be forgotten. If you request, we can remove all of your personal details from our system. As per our legal accounting obligations, we’ll retain a record of the transactions that have occurred, but will remove any associations between those transactions and your records, as well as the records themselves (so all of your personal details will be purged from our system).

» Credit Card Information

Visual ClubMate does not store credit card information. Should you choose to enter your credit card information for your membership, your credit card details are encrypted and securely sent over a connection directly to the facility’s billing provider.

Visual ClubMate only stores bank account information in the instance of the facility opting to do manual billing. The vast majority of facility billing is done automatically, in which case bank account information is encrypted and securely sent over a connection directly to the facility’s billing provider.

VisualClubMate.com does not use cookies.

» Public Disclosure

Unless specifically protected under federal or state law, any information provided may be inspected by the public or disclosed. Please refer to 1 MRSA Chapter 13 for more information on public records and under what circumstances it is released.
